How to Scan Old Family Photos and Actually Organize Them

Most people who start scanning family photos never finish. They scan forty pictures in a burst of enthusiasm, dump them in a folder called scans, and stop. Two years later the folder is still there, unlabeled, and the shoebox is still in the closet.

The scanning isn't the hard part. The hard part is deciding what to scan, and doing the labeling while you still have someone alive who can tell you who's in the picture. That last point is the whole reason this project has a deadline.

Here's how to do it in a way that actually finishes.

Before anything: the urgent part

If there is an elderly relative who can identify people in these photos, do the identification before you do the scanning.

Scanning can happen any time. A ninety-year-old aunt who knows that the woman in the striped dress is your great-grandmother's sister cannot happen any time. This is the single most common regret in family photo projects — a beautifully scanned archive of strangers.

Practical version: take the shoebox to her house. Photograph each print quickly with your phone — quality doesn't matter here — and record audio on your phone while she talks through them. You now have a rough index. Do the proper scanning later.

If that's not possible, at minimum write names on sticky notes attached to photos, or in pencil on the back margin (never ink, never on the image side, never with ballpoint pressure).

Step 1: Sort before you scan

Do not scan the whole box. This is where most projects die.

Spread everything out and make four piles:

Pile 1 — Scan at high quality. Photos of people, especially people who have died. Photos before roughly 1970. Anything one-of-a-kind: portraits, weddings, military photos, old houses, immigration documents.

Pile 2 — Scan quickly. Group shots, holidays, vacation snapshots. Worth having, not worth agonizing over.

Pile 3 — Don't scan. Blurry shots, scenery with no people, duplicates, photos of a landscape someone visited in 1987. Be honest. Nobody in your family will ever want the eleven near-identical shots of a canyon.

Pile 4 — Physically fragile or valuable. Damaged prints, glass plates, negatives, slides. These need different handling; set them aside for now.

A typical shoebox of 800 photos usually yields 200 to 300 worth real scanning. That's a weekend project instead of a year-long one.

Step 2: Choose your scanning method

There are three realistic options and they suit different situations.

Phone scanning apps (fast, free, good enough for most)

Modern phone scanning apps use the camera plus edge detection and glare removal. Photo Scan-type apps take several exposures and merge them to eliminate reflections, which is the main thing that ruins phone photos of prints.

Quality: genuinely decent — roughly equivalent to a 300 DPI scan for a 4x6 print. Fine for viewing, sharing, and modest prints.

Speed: very fast. Ten to fifteen seconds per photo.

Use it for: Pile 2, large volumes, and any situation where the alternative is not scanning at all.

Limits: you won't get enough resolution to enlarge significantly, and small prints suffer. Don't use it for Pile 1.

A flatbed scanner (best quality-to-effort ratio)

A flatbed scanner in the $100–200 range will out-resolve any phone and handles multiple photos per pass.

The key trick: place four to six prints on the glass at once, scan the whole bed as one image, and use the scanner software's "detect separate images" feature — most have one. It saves each photo as its own file, straightened and cropped. This roughly quadruples your throughput.

Use it for: Pile 1 and anything you want a permanent master of.

A scanning service (when volume beats everything)

Mail-in services charge roughly 25 to 60 cents per photo depending on volume and resolution. For 2,000 photos, you're looking at several hundred dollars and a few weeks.

Worth it when: you have thousands of photos, or the box has been in a closet for a decade because the project felt too big. Paying to skip the tedium is a legitimate choice.

Before you send anything: photograph the box contents first as an inventory, check the service's insurance and loss policy, and never send originals of anything irreplaceable if you can't accept the small risk of loss in transit.

Step 3: Use the right settings

This is where people either waste enormous amounts of storage or under-scan and have to do it twice.

Resolution:

Original Scan at
4x6 or larger print 600 DPI
Small print (wallet, 2x3) 1200 DPI
35mm slide or negative 2400–4000 DPI
Newspaper clipping, document 300–400 DPI

The principle: scan at a resolution that lets you print the result larger than the original. 600 DPI on a 4x6 gives you enough data for a clean 8x10 enlargement. 300 DPI gives you a copy and nothing more.

Going beyond 600 DPI on a standard print mostly just captures the paper texture and film grain. It isn't extracting real detail.

Color mode: scan in color even for black-and-white photos. Old prints have real color in them — sepia tone, yellowing, the specific warmth of the paper. Scanning in grayscale throws that away permanently, and it's part of the object's character. You can always convert to grayscale later.

File format: TIFF for Pile 1 masters, JPEG for Pile 2. TIFF is lossless and large (30–100 MB per scan at 600 DPI); JPEG at high quality is a fraction of that and visually indistinguishable for most purposes.

A good compromise: scan Pile 1 to TIFF, then immediately generate JPEG copies for everyday use. The TIFFs go to deep storage and you never touch them again.

Turn off automatic corrections. Scanner software often offers auto-color, dust removal, and sharpening by default. Turn all of it off for your master scans. These are irreversible guesses applied to your only digital record of a physical object. Scan flat and neutral; correct copies later if you want to.

The one exception: hardware-based infrared dust removal (found on dedicated film scanners) is genuinely good and worth using on slides and negatives. Software-based dust removal on prints is not — it smears fine detail.

Step 4: Scan the backs

If there is handwriting on the back of a photo — a date, a name, a place, a note from the person who mailed it — scan it.

Name it as a companion file: 1952-summer-grandma-porch.jpg and 1952-summer-grandma-porch-BACK.jpg.

That handwriting is often the only surviving evidence of who and when. It's also, in itself, a piece of a person — their handwriting, their phrasing. People value those scans more than they expect to.

Step 5: Name files as you go

Name each file immediately after scanning. Not later. Later never comes, and a folder of scan_0047.tif is functionally the same as not having scanned it.

Format:

When you don't know the exact date, approximate and mark it:

Rules that matter:

  • Date first, always YYYY format. This is what makes chronological sorting work. 1952 sorts before 1967 in every system on earth. June 1967 does not.
  • Approximate is far better than blank. "1940s" tells a future family member enormously more than nothing.
  • Include the surname branch. In a family archive, mchugh vs lafrance instantly separates your mother's side from your father's.
  • Use hyphens, not spaces, and no special characters. These files may outlive several operating systems.

Step 6: Add the information into the file itself

Filenames get lost. Someone re-exports a batch, or uploads to a service that renames things, and your careful labeling evaporates.

The durable place for information is the file's own metadata. Most photo software lets you edit these fields:

  • Date taken — set this to the approximate original date, not the scan date. This is the single most valuable field, because it makes photos sort correctly in every photo app forever.
  • Caption / Description — who's in it, where, what's happening. Write full sentences. "Grandma Rose McHugh on the porch of the Fort Covington house, with her sister Alice. Believed summer 1952."
  • Keywords / Tags — surnames, place names, event types.

This takes ten seconds per photo and it's the difference between an archive and a pile.

Set the date field correctly and this fixes a specific, annoying problem: by default, a scanned photo's date is the day you scanned it. Import 300 scans into Apple Photos or Google Photos and they'll all appear as "today," filed between last week's grocery receipt and a picture of your dog. Fixing the date field puts your grandmother's 1952 porch photo where it belongs on the timeline.

Step 7: Organize the scans

Scanned photos don't fit the year-folder structure you use for modern photos, because you often don't know the year and because they're a distinct collection. Give them their own branch:

Decade folders, not year folders, because you genuinely won't know exact years for much of it. Decades are achievable; years aren't.

The Unidentified folder is not a failure. It's a to-do list. Every family gathering, open it on a laptop and let people look. Photos migrate out of it over years.

Split by family branch at the top level if the archive spans two families. Future relatives will be looking for one side or the other.

Step 8: Handle slides, negatives, and film

These need different equipment — a flatbed with a transparency unit, or a dedicated film scanner. A regular flatbed cannot scan them properly because it can't light them from behind.

Two things worth knowing:

Negatives often hold more detail than the prints made from them. If you have both, scan the negative. A 1965 negative scanned at 4000 DPI can look startlingly better than the drugstore print made from it.

Slides degrade. Kodachrome held up remarkably well; other stocks shifted color badly, usually toward magenta. If you have boxes of slides, they're a higher priority than prints — the clock on them is shorter.

If you have 8mm or Super 8 film reels, that's a specialist job. Home methods produce poor results. Use a service.

Step 9: Back it up before you feel finished

This project produces something irreplaceable that exists in exactly one place: whatever computer you scanned onto. That is a genuinely risky state.

Get the archive into three places before you put the shoebox away: your working copy, a local external drive, and one copy offsite — a cloud backup or a drive at a relative's house.

And here's the thing specific to family archives: the offsite copy should ideally be with another family member, not just in a cloud account only you can access. Give your sibling a copy of the drive. Give your kids one. An archive that only one person can reach is one forgotten password away from being gone.

Step 10: Keep the originals

Do not throw away the prints after scanning.

A scan is a good copy. It is not the object. The original print has information a scan doesn't — the paper stock, the photo lab's stamp on the back, the way it was cut, the fact that someone carried it in a wallet until the corners wore round.

Store them properly instead: acid-free boxes, out of the attic and out of the basement, somewhere with stable temperature and low humidity. Heat and moisture cycles are what destroy photographs, and attics and basements are the worst offenders in most houses.

If nobody in your family wants them eventually, historical societies and local archives will often take photographs with identifiable local places and people. For those of us in border and rural communities where a lot of local history was never formally recorded, a shoebox of dated, identified photos is genuinely valuable to a local archive.

A realistic plan

If this feels like a lot, do it in this order and stop wherever you run out of steam — each stage is worth something on its own:

  1. This month: sit down with the oldest person in your family and record them identifying photos. Phone camera, phone audio recorder. Two hours.
  2. This season: sort into the four piles. One evening.
  3. Ongoing: scan Pile 1 properly, twenty photos at a sitting. Name and date each one as you go.
  4. Eventually: Pile 2 with a phone app, in front of the TV.
  5. Before you stop: back it up in three places and hand a copy to a sibling.

Step one is the only one with a real deadline. Everything else will still be possible in five years.
